Frequently asked questions
Everything you need to know about Quiet Loon. Can't find your answer? Just ask us.
Getting started
Quiet Loon is a family organisation tool that reads the emails flying at you — school newsletters, club updates, activity notices — and automatically pulls out the events, tasks and deadlines so you never have to. Think of it as a very calm, very organised personal assistant for family life.
Sign up, and you'll get a personal Quiet Loon email address. Forward any family email to it — school newsletters, club updates, anything — and we'll extract what matters and add it to your dashboard automatically. You can also set up auto-forwarding from your email app so it happens without you having to think about it. Once you're in, we have step-by-step guides for Gmail, Outlook and Apple Mail waiting for you.
Nope. Quiet Loon is a web app — it works in any browser on any device. No downloads, no app store, no setup. Just sign in and you're running.
Yes. Quiet Loon works for any English-speaking family — US, Canada, Australia, Ireland, New Zealand, or anywhere else. The dashboard, reminders and support are in English, so you'll need to be comfortable reading English. Dates and times follow your local format automatically. Pricing shows in GBP with a rough USD equivalent outside the UK; Stripe handles the conversion at checkout, and your card issuer settles in your local currency.
Yes. Quiet Loon supports US grade labels — Pre-K, Kindergarten, 1st Grade through 12th Grade — alongside UK year groups. When you add a child under Family, the picker shows the labels that match your school. Field trip permission slips, PTA newsletters, school photo days, end-of-year exams, sports days, all read the same way. Forward an email and we extract the events and tasks regardless of which side of the Atlantic the school is on.
Yes. We read whatever the email says. Canadian schools tend to use the same grade labels as US schools (K through 12). Australian schools use Year levels (Foundation/Prep through Year 12). New Zealand uses Years 0 through 13. In each case, Quiet Loon picks up the labels mentioned in your school's emails and tags events accordingly. You can also type any freeform label your school uses if it's something different.
Yes. Add each of your kids under Family with their school year (or grade — Quiet Loon picks whichever labels your school uses), and we'll quietly tag anything we extract with the year or grade it relates to. Emails meant for other year groups stop clogging your dashboard, and everything else gets attributed to the right kid.
What gets extracted
Events (with dates, times and locations), tasks (things you need to do, with deadlines), and reminders. Everything lands on your dashboard organised and ready to act on.
Yes. If an email has a PDF attached — a newsletter, a club schedule, a nursery letter, a trip flyer — we extract information from that too. A lot of the important stuff is buried in attachments, so we make sure nothing gets missed.
We handle them. Quiet Loon's extraction works on emails in dozens of languages — Spanish, French, German, Polish, you name it. The event titles and locations come through in the original language (because that's what they actually are), and they sync to your calendar exactly as written. The reminder messages we send are in English, but they'll include the original event details. Particularly useful if your school district sends dual-language emails, or you've got family communications coming from international schools or non-English-speaking activity providers.
It can occasionally misread a date or miss something in a complex email. We always recommend checking important details against the original — that's why we keep a copy of every email in your Emails tab. And if anything's off, you can edit events and tasks directly from the dashboard.
Yes. Everything on your dashboard is editable. If a date is wrong or a title needs tweaking, just tap it and update it directly.
Yes. Anything that arrives in your inbox can be forwarded, regardless of who sent it. ParentPay payment requests, ParentMail newsletters, School Gateway absence forms, club booking confirmations. Quiet Loon reads them all the same way and pulls out the events, deadlines and amounts you need to know.
Yes. Any email that lands in your inbox is fair game. Swimming, football, ballet, scouts, music lessons, holiday clubs, birthday party invitations from other parents. Forward them to your Quiet Loon address and we extract the dates and tasks the same way as school emails.
Email forwarding
Every account gets a unique address like family-abc123@inbound.quietloon.com. Just forward any email to that address and we'll process it automatically. You can find your address on your dashboard — there's a Copy button right there.
Anything with a date, a task or a deadline in it — schools, nurseries, swimming clubs, dance classes, sports teams, activity providers, birthday party invites, holiday camps. If you'd normally have to remember it yourself, forward it to Quiet Loon instead.
Yes — and we'd recommend it. Set up an auto-forwarding rule in your email app and everything relevant will arrive without you lifting a finger. For Gmail specifically, we intercept the verification email and show a banner on your dashboard so you can confirm with one click — no digging required. Step-by-step guides for Gmail, Outlook and Apple Mail are waiting inside the dashboard once you sign up.
No problem. If an email doesn't contain any events or tasks, we'll note it was received and move on. Nothing will appear on your dashboard unless there's something worth surfacing.
Yes. Each family member can set up forwarding from their own email account into your shared Quiet Loon address. Mum's school emails, dad's club confirmations, the grandparent's birthday-party invite they got because they were on the school-gate WhatsApp group. All in one place.
Calendar & reminders
Yes. Every account gets a family calendar feed you subscribe to once — then every event we extract shows up in your calendar automatically. Sync speed is controlled by your calendar app (Apple, Google and Outlook all handle it differently) but in most cases it's quick. One thing to know: if we re-process an email, you might briefly see a duplicate entry — it clears itself on the next refresh. It's rare, but we'd rather be upfront about it.
Yes. Quiet Loon sends reminders before events and deadlines — the day before and on the morning of, by default. You can also opt in to WhatsApp reminders in Settings so they arrive right where you already are.
Every week (on a day and time you choose in Settings), we send you a summary email of everything coming up — events, tasks, anything outstanding. It's a calm Sunday morning overview so nothing sneaks up on you.
Yes, this is one of our most-requested features. Open the tasks tab, tap Recurring reminders at the top, and add the rule. Pick which days, what time, and who it's for. Premium accounts get the reminder by email and WhatsApp, Basic accounts by email.
If you've added your phone number and opted in, Quiet Loon sends reminder messages via WhatsApp ahead of events and on the day. They come from our verified WhatsApp number, not a personal account. WhatsApp delivery is included on the Premium plan.
Family & sharing
Yes — you can invite a family member to join your account. Go to Settings and generate an invite code. They sign up, enter the code, and you're both looking at the same dashboard, the same events, the same tasks. No more "did you know about this?"
Yes — automatically. When an email mentions a child by name, Quiet Loon picks that up and tags the event or task to them. No need to register your children's details.
Completely. Each family has its own isolated account. No other family can see your data, and we never mix it.
Google Calendar is a place to put events you already know about. Quiet Loon is a place that finds them for you. We read your school and club emails, extract the dates and tasks automatically, and feed them into a calendar you can then share. You still get a regular calendar feed at the end so it works alongside Google Calendar, not instead of it.
Yes. Add each child under Family with their own school and year group. Quiet Loon keeps everything attributed correctly so you can tell at a glance which event belongs to which kid.
Pricing & billing
Basic is £4.99 per month or £39.99 per year. Premium (with WhatsApp reminders and the weekly digest) is £9.99 per month or £79.99 per year. Annual billing saves you two months compared to monthly. Visitors outside the UK see prices in USD on the homepage and onboarding pages; Stripe still bills in GBP and your card issuer handles the conversion at checkout.
Yes — every new account starts with a 14-day free trial. Your card won't be charged until day 15. Cancel any time before then and you won't pay a thing.
Yes, absolutely. Cancel from Settings at any time and you won't be charged again. You'll keep access until the end of your billing period.
Payments are handled by Stripe — one of the most trusted payment processors in the world. We never see or store your card details.
Privacy & AI
No — and this is important. Quiet Loon works by selective forwarding, not inbox access. We never connect to your inbox, request inbox permissions, or read anything in the background. There's no OAuth login, no 'allow access to Gmail' step. You forward specific emails to your unique Quiet Loon address — that's it. We only ever see exactly what you choose to send us, nothing more.
Only you and your family members. We never share your email content with anyone. See our Privacy Policy for the full picture.
No. We use Google Gemini's paid API, which explicitly does not use your data to train or improve AI models. Google retains request logs for a limited period solely for abuse monitoring — your email content is not used for any other purpose.
Use it as a helpful prompt, not a guaranteed fact. AI is very good but not infallible — always double-check critical dates (trips, medical appointments, exams, recitals) against the original email. We say this clearly on every page because we think it matters.
Yes. We're a UK-registered company, our data is processed in line with UK GDPR, and you can delete your account and all associated data at any time from Settings. We never sell data and we don't share it with advertisers.
Yes. Remove a child from the Family page and their record is deleted, along with the year-group tagging on any past events linked to them. If you'd rather wipe everything at once, you can close your account from Settings and we remove all family data within 30 days.
