How to auto-forward school emails to Quiet Loon

A complete, provider-by-provider guide to forwarding school and activity emails to Quiet Loon — one email at a time, or automatically, from Gmail, Outlook, Apple Mail, Yahoo, AOL and work email.

Forwarding beats connecting your inbox. You set one rule, once, and Quiet Loon only ever sees the emails you choose to send it — never your whole mailbox, never your other messages. No account to link, no permissions to grant, nothing to revoke later.

Gmail

Step 1: add and verify your forwarding address

A one-time prerequisite — do this before creating any filter

  1. 1Go to gmail.com in your browser, click the Settings cog, then “See all settings”
  2. 2Open the “Forwarding and POP/IMAP” tab
  3. 3Click “Add a forwarding address”, paste your Quiet Loon address, and confirm
  4. 4Gmail sends a verification email to your Quiet Loon address. This appears as a banner on your dashboard — click “Confirm auto-forwarding” there
Leave Gmail's own “Forward a copy of incoming mail to” setting on this tab switched off — that would forward everything. The filter you create next is what makes forwarding selective.

Step 2: create the filter

Once your address is verified, set it once and every future email from that sender forwards automatically

  1. 1Click the search bar and then “Show search options” (the sliders icon on the right)
  2. 2In the “From” field, type the sender's email address (e.g. the school office)
  3. 3Click “Create filter” at the bottom right
  4. 4Tick “Forward it to” and choose your Quiet Loon address from the dropdown — it appears there once verified in Step 1
  5. 5Click “Create filter” to save

Auto-forward a whole school domain

Catches every address at the school — office, teachers, clubs — in one rule. Requires Step 1 above first

  1. 1Follow the filter steps above (Step 2), starting from “Show search options”
  2. 2In the “From” field, enter the school's domain (e.g. @yourschool.sch.uk) so every sender there matches
  3. 3Tick “Forward it to” and choose your Quiet Loon address from the dropdown
  4. 4Click “Create filter” to save
Don't use a label as the filter criteria (e.g. “Has the words: label:school”) — Gmail filters run when mail arrives, before any label has been applied, and filters don't chain, so a label criterion never matches incoming mail. If school email is already organised under a label, use the sender or domain criteria that label is based on instead.

Outlook / Hotmail

This guide covers all Microsoft email addresses — Hotmail, Outlook, Live, and MSN. They all use the same inbox at outlook.com.

  2. 2Click “Mail” → “Rules” → “Add new rule”
  3. 3Give the rule a name like “Forward school emails to Quiet Loon”
  4. 4Under “Add a condition”, choose “From” and enter the school sender address
  5. 5Under “Add an action”, choose “Forward to” and paste your Quiet Loon address

The rule activates immediately. All future emails from that sender will be forwarded automatically, whether you're on your phone, tablet, or computer.

Outlook desktop app (Windows)

Only if you use the installed Outlook app rather than the website

Apple Mail rules only run while Mail is open on your Mac. For more reliable forwarding, set up a rule directly at gmail.com or outlook.com — those rules run in the background regardless of what device you're on.

iPhone or iPad

Apple Mail on iOS doesn't support automatic forwarding rules

Yahoo doesn't support forwarding rules limited to specific senders — turning this on sends every email that arrives in this account to Quiet Loon, not just school mail. It also requires Yahoo Mail Plus; if you're on a free Yahoo account you won't see this option at all, so use manual forwarding above instead, or set up a per-sender rule at gmail.com or outlook.com if you have an account there. The confirmation link isn't clickable from inside Quiet Loon, so you'll need to select and copy it yourself — and the one-click “Confirm auto-forwarding” banner mentioned in the Gmail section above is Gmail-only; it will not appear for Yahoo.
